How do I Create a New Survey with The Survey Portal?

After selecting a program, you will be provided with a user name and password that provide you with access to The Survey Portal.  After accessing the portal, you can begin to design your survey following the steps listed below:

1. Design Survey.  The administrative control panel allows you to easily create a new survey by following the simple instructions.  Several methods can be used to create a new survey including:

  1. Begin for scratch by creating your own survey questions.

  2. Create a new survey using our extensive library of survey questions.

  3. Reproduce or modify an existing survey

2. Test Your Survey.  Once you’ve prepared your survey questions, the control panel allows you to test the survey in the same way that a recipient would experience it.  Testing allows you to identify problems or changes that you may want to make prior to invite recipients to participate.

3. Identify Survey Recipients or Survey Access Methods.  The survey can be administered in two (2) primary ways.  Either or both methods may be used on any given survey

  1. Email Invitation.  The first method uses an email invitation, which includes links allowing the recipient to click to accept the survey, or to click a separate link to decline.  Sample email invitations are provided, but may be modified by the user as required.  Either text or HTML email is supported.  The Survey Portal tracks response rates for persons invited and calculates the total number who accepted, declined or simply did not respond.

  2. Website Link.  A special link can be placed at a strategic location on your company website.  When a user clicks on that link or button, they will be automatically routed to the specified survey.

4. Launch Survey.  Once you are ready to do so, you may launch the survey using the Portal’s control panel.  Once launched

5. Upload Email List If email invitations will be used, the user may upload the email invitation lists through the control panel.  Once uploaded, the Survey Portal will automatically send emails and track response rates.

6. Analyze Results.  At any time during the campaign, or after its conclusion, survey results may be reviewed, analyzed or exported by the user using the Survey Portal Control Panel.

2.    What type of report capabilities does it support?

The Survey Portal incorporates a robust reporting system allowing you to generate on-demand reports, or export your data into programs like Excel for customizes reporting.  Following is a summary of the key reporting features:

  • Ability to filter report results based on date ranges

  • Robust functionality for sharing results via email to any number of email addresses

  • Ability to filter report results based on answers to questions

  • Ability to filter report results based on user attributes

  • CSV/Excel data export in raw data format

  • CSV/Excel data export with individual user responses on each row

  • CSV/Excel data export in an SPSS compliant format

  • Scored surveys

  • Email list information is displayed on detail report for responses to email messages

  • Optionally highlight a user's own responses on the overview report

4.    Am I under any obligation if I accept the Free Trial?

Absolutely not.  Once you're set up for your free trial, you have thirty (30) days to use the program for evaluation purposes.  If you decide not to proceed after that period, you have no obligation and have incurred no costs.  However, if you choose to use the Survey Portal after that period, you will be asked to sign up for one of our term agreements at the prevailing rate.

5.    Can I set up my own surveys?

Absolutely.  After signing up for a free trial, or after selecting one of other programs, you will be given access to our control panel, which provides with the ability to design surveys, launch new surveys, upload email lists, etc.

6.    Can I receive assistance setting up my surveys?

Yes.  Contact Center Professionals is happy to provide optional assistance in designing and analyzing survey results.  For clients who select our Premium package, assistance is provided as part of the package.

7.    What methods are used to deploy surveys? 

There are three (3) primary methods of deploying online surveys. 

  1. Email Invitation. The first method is to send a survey request to selected individuals using a customizable email message.  To do so, you simply upload your email list to our secure control panel.  Once you are ready to launch the survey, our solution automatically sends out the email invitations which contain two (2) links.  Clicking the first link routes the recipient to the survey.  Clicking the second indicates that the recipient has declined to take the survey.  (Click here to see an example)

  2. Website Link.  The second method is to provide a button or link on your website.  When a visitor clicks on the link, they will be automatically connected to the survey.  (Click here to see an example)

  3. Event Completion.  The third method is to proactively offer the survey from website visitors at predetermined times.  For instance, if a customer places an order for an item, completion of the order could trigger a window to appear that offers an optional survey.  This option can involve a greater effort on the part of the client's web designer.

8.    Can I get customized reporting?

Yes.  Customized reports can be generated by exporting response data into an external program, such as Excel.  Clients may either customize their own reports, or Contact Center Professionals will be happy to do so on an optional basis.

9.    Can the survey be customized to look like our own?

Yes.  The survey can be customized to include your logo, website colors, etc.

10.  Can I see an example of an Email Invitation?

Email invitations can be easily customized to suit any requirement and may be sent in either text or HTML formats.  Following is a simple example of an email invitation.

11.  What do the links look like that I would place on my website?

Web link buttons can be customized to fit any client's requirements.  Shapes, sizes, colors, etc. may all be customized and special effects, such as the Animations illustrated below, can be used to increase visibility.

When clicked by a web visitor, web link buttons are used to connect a user directly to a specific survey.  Web link buttons may be provided by the customer, or we will be happy to provide the necessary HTML code from our library of web buttons.  For an additional charge, customized buttons can be provided.
